President
President has following roles and responsibilities:
- The President will preside over the meetings of the Managing Committee and General Body.
- President shall provide necessary guidance and directions for the fulfillment of the aims and objectives of the association as per the constitution and the resolutions of the general body.
- The President shall have the power to call for an extraordinary meeting of the Managing Committee/General Body for transacting the matters of urgent nature if the Secretary fails to do so.
Vice-President
Vice-President shall act as President in the absence of the President for any reason.
Secretary
Secretary has following roles and responsibilities:
- The secretary shall be the Chief Executive of the Association to carry out day to day activities and shall represent the Association in all matters including legal matters. Secretary shall represent the Association in any meetings, conferences or committees. The Managing Committee may however nominate additional/alternate members for this purpose.
- Secretary shall convene the meetings of the Managing Committee in consultation with the President and General Body with the approval of the Managing Committee.
- Secretary shall be responsible for the maintenance of Minutes of Meetings of the Managing Committee and General Body. The Minutes so recorded shall be initialed by the person who chaired the said meeting and confirmed in the next meeting.
- Secretary shall maintain a Register of Members, Regiter of Assets and Properties and a summary of movable properties of the Association.
- Secretary is authorized to make all payments on behalf of the Association after scrutiny and passing.
- Secretary shall have an imprest of Rs. 2500/- to meet any unforeseen and inevitable expenses.
- Secretary shall prepare an Annual report of the Association for presentation for General Body in April.
- Secretary shall act as Correspondent in the absence of the Correspondent.
Correspondent
Correspondent has following roles and responsibilities:
- The Correspondent shall be overall in charge of educational institutions run by the Association.
- A. Correspondent shall be responsible to implement the rules and regulations as laid down by the Government of Andhra Pradesh (under the provisions of A.P. Educational Act 1982 and notifications issued there under) in regard to the selection and appointment of staff, admission of student and coordinate with the Governing Body of the educational institutions.
- Correspondent shall ensure that fees, etc. collected from the students are allocated towards items of expenditure as stipulated in the notification issued by the Government of A.P. from time to time.
- Correspondent shall evaluate the performance of students in the quarterly, half yearly and final examination together with the performance of staff in consultation with the Principal and apprise the Managing Committee at the end of the above term examinations.
- Correspondent shall prepare and Annual report of the Educational Institutions for presentation to the General Body in April.
- Correspondent shall convene the meetings of the Managing Committee in consultation with the President and General Body with the approval of the Managing Committee.
- Correspondent shall act as Secretary in the absence of the Secretary.
- Correspondence shall have an imprest of Rs. 2500/- to meet any unforeseen and inevitable expenses.
Treasurer
Treasurer has following roles and responsibilities:
- The Treasurer shall be responsible for the collection of subscriptions, all money that are due and maintenance of all accounting records.
- Treasurer shall ensure immediate remittances of the money into the bank and in any case shall not keep money without remittance for more than two days.
- Treasurer shall prepare monthly accounts for presentation every month to the Managing Committee.
- Treasurer shall be responsible for presentation of budget for next financial year in the month of December for approval of the General body, present annual accounts of previous year on or before 20th April to the General Body and revised budget for the current year. If any, for approval for the general Body in the Month of June.
- Treasurer shall ensure timely completion of audit by the General Auditor and Chartered Accountant.
Internal Auditor
Internal Auditor has following roles and responsibilities:
- The Internal Auditor shall audit shall audit the monthly accounts every month and also Annual Accounts before their presentation to the Managing Committee.
- Internal Auditor shall physically verify various assets of the Association including Educational Institutions, Library etc. by January every year.
